What we collect and where it comes from
| Information | Source |
|---|---|
| Company name, website, company number, registered office and company status | The company's public website and the public Companies House register (company details only; we do not collect information about directors or other individuals from it) |
| Business contact details: a contact name, job title, business email address and business phone number | The company's public website or public business listings |
| A record of our emails and calls, and any reply | Our own correspondence with you |
| Whatever you choose to tell us if you contact us | You |
| If you use the form on our website: your name, email address, website address and message | You |
We do not buy contact lists.
What we use it for, and our lawful basis
- Contacting limited companies and LLPs about their website, offering a free website check and our website services. Our lawful basis is legitimate interests: running and growing a small business by contacting relevant companies in a low-volume, personal way. We have assessed this and believe it does not override your interests, because we only use business contact details, only contact companies whose work our service is relevant to, and you can opt out at any time.
- Preparing a website check of the company's public website. This is about the company, not about you.
- Replying to you and providing our services if you get in touch or become a client (legitimate interests, or to take steps towards a contract).
- Keeping a do-not-contact list so that we never contact you again after you opt out (legitimate interests, and our legal obligations under marketing rules).
We only send marketing emails to companies and LLPs, not to sole traders or partnerships unless they have asked to hear from us. We check phone numbers against the Telephone and Corporate Telephone Preference Services before any call.
Your right to object
You can tell us to stop contacting you at any time, and we will stop straight away. Reply to any of our emails or email foaen.websites@gmail.com. We will keep only the minimum needed (your email address or company name) on our do-not-contact list, so that we do not contact you again.
Who we share it with
We do not sell or share your information for others' marketing. We use a small number of service providers who process it for us:
- Google (Gmail and Google Sheets) for email and our contact records
- Netlify, which hosts this website and receives messages sent through its form
These providers may process data outside the UK. Where they do, they use the safeguards required by UK data protection law, such as the UK International Data Transfer Agreement or Addendum, or a UK adequacy decision.
How long we keep it
- Prospect contact details and website form messages: up to 12 months after our last contact, unless you become a client.
- Website check reports and screenshots: up to 180 days.
- Do-not-contact list: for as long as we do this kind of marketing.
- Client records: as long as needed for the contract and for tax and accounting law.
Your other rights
You can ask for a copy of the personal information we hold about you, and ask us to correct it, delete it or restrict how we use it. Email us and we will reply within one month.
If you are unhappy with how we have used your information, please tell us first. You also have the right to complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint, 0303 123 1113.
